Director of External Affairs
The NYC Leadership Academy (www.nycleadershipacademy.org [1] an independent nonprofit organization that prepares aspiring New York City public school leaders for the challenging work of school turn around, builds the capacities of current New York City school leaders to lead school improvement efforts and advises states and districts on school leadership development, seeks a Director of External Affairs. The Director will be responsible for helping craft the organization’s external communications strategies, writing and editing the organization’s fundraising, marketing and other communications, conducting grant-related research, and providing external relations support to senior management.
The successful candidate is a talented writer and editor, and creative thinker able to work both independently and collaboratively in a fast-paced environment; possesses formidable project management skills and keen attention to detail; and welcomes the opportunity to contribute to a growing organization with a high media profile and national reach.
Reporting to the EVP of External and Legal Affairs, the Director of External Affairs will:
• Serve as strategic thought partner to EVP of External Affairs , helping to develop the organization’s strategic fundraising, marketing, and communication goals
• Strengthen department’s infrastructure by developing processes and practices for efficiently managing work flow
• Conduct prospect research
• Research, write, edit and track grant proposals
• Manage the reporting and administrative processes for grants
• Collaborate with program staff to insure that program activities and expenditures meet funding requirements
• Develop or oversee the development of marketing and other external communications materials for multiple stakeholders, including marketing brochures, fact sheets, press releases and responses to media inquiries
• Oversee production of annual reports
• Assist supervisor in managing all facets of external affairs work, as necessary including: project management, special events, preparation for Board of Directors meeting and special projects.

Office Manager – National Initiatives
The NYC Leadership Academy (www.nycleadershipacademy.org [1]) is a nonprofit organization that prepares aspiring New York City public school leaders to turn around schools supports current New York City school leaders, designs and delivers training sessions for school leaders nationally and advises states, districts and universities and other non-profit organizations on school leadership development.
JOB SUMMARY:
We are seeking an office manager with a minimum of 2 years of office management experience. This person will be responsible for the overall administrative management of the office, including designing and implementing systems and process for this new and growing office. Reporting directly to the Executive Vice President of National Initiatives (EVP), this position will also provide administrative support to the team and to the EVP including arranging and managing travel, scheduling meetings, and maintaining calendars. This is a small, fast-paced and client-facing work environment. We seek someone who is focused, personable, has a proactive attitude and is able to work independently.
RESPONSIBILITIES:
• General Office Administration
o Implement and maintain systems that improve administrative efficiency
o Manage facilities including booking of office space, scheduling repairs, and general upkeep
o Provide general clerical support (prepare routine correspondence and agendas, schedule appointments, maintain organized soft and hard-copy filing systems, ordering supplies, updating office calendars, responding to phone and email inquiries)
o Schedule and attend internal meetings and prepare/distribute materials and take minutes
o Manage special projects & perform other duties as assigned
• Administrative Support to EVP
o Prepare EVP’s expense forms
o Maintain and schedule EVP calendar and make all travel arrangements
o Prepare, edit and layout presentations, particularly Power Point presentations for EVP
o Draft, proofread and edit routine correspondence for EVP
• Administrative Support to team
o Providing support for external meetings including outreach to attendees, material preparation, and management meeting logistics
o Support on-line marketing efforts including data entry in client relation management system, insuring accuracy of system’s information and generating reports from system
o Keeping track of office expenditures against budgets/funding sources
o Process invoices, check requests, and expense reports and reimbursements
REQUIRED QUALIFICATIONS:
• Bachelor's degree and 2-3 years experience as office manager and/or executive assistant
• Must be VERY proficient with Microsoft suite of products
• Excellent organizational skills
• Ability to multi-task and manage time effectively by organizing and prioritizing tasks
• Proficiency in the learning of new databases; accurate data-input skills
• Effective interpersonal and communication skills and the ability to interface with personnel at all levels.
• Proven ability to understand and tolerate ambiguity and change
• Ability to multi-task
General work hours are Monday – Friday, 9am – 5pm (as a salaried position, must be available to work beyond these hours, as required
SALARY & BENEFITS
The NYC Leadership Academy offers a competitive salary beginning at $40,000 that is commensurate with experience and comprehensive benefits including a generous paid time off package and fully-paid health/dental plans.
LOCATION
The NYC Leadership Academy is conveniently located in Long Island City, Queens. Long Island City is located only minutes outside of Manhattan and is easily accessible via seven subway lines (7, E, V, G, N, R & W), the Long Island Rail Road, numerous bus lines including 19A, 39, 67 & 101R and a ferry landing at queens west proving service to Midtown, Lower Manhattan and Brooklyn.

The NYC Leadership Academy is seeking a Data Coordinator to contribute to the Leadership Academy’s goal to effectively monitor, assess, and refine its work through the consistent collection and analysis of multiple sources of data. Specific responsibilities include:
• Developing, maintaining, and enhancing research databases
• Developing, implementing and enforcing data-keeping processes
• Collecting, compiling, cleaning and organizing quantitative and qualitative data
• Conducting data entry, entry-level analysis and some documentation
• Communicating with program participants
This position reports to the Sr. Director of Research and Evaluation.
Qualifications:
• A bachelor’s degree
• Strong understanding of database concepts and relational databases

Library Sciences Intern – Resource Library
Position: Internship, Resources Library
Job Description: The NYC Leadership Academy is looking for a Library Sciences intern to work with us to make our library more user-friendly and accessible. We’ve done an initial survey and need to make changes to ensure that our library is a great resource for our staff. Priorities include updating materials, integrating technology, and general reorganization.
The resource library currently includes books, articles, news resources, categorized readings and a small but growing collection of DVDs. Library topics include Leadership, Accountability, Instruction and Pedagogy, Learning Organization, Child & Adolescent Development, School Culture/Climate, Communication & Strategy, Equity, Race, Class and Gender, and Resource Allocation.
Location: 45-18 Court Square, Long Island City (5 minutes outside of Manhattan).
Near major subways, trains, buses, and LIRR.
Pay: Unpaid Internship.
Could be used for college credit or to get great experience.
Will provide reimbursement for travel.
Start Date: Ideally ASAP but flexible
Length: Preference for the year but will be flexible
